Managing Large Page Inventories
As a WordPress site grows to encompass hundreds of pages—including active marketing campaigns, specialized landing pages, legal privacy updates, testing drafts, and old archive content—the standard Pages > All Pages view can quickly become disorganized and difficult to navigate. WordPress natively provides a few basic labels like "Front Page" or "Privacy Policy Page," but it doesn't offer a built-in way to create custom labels for internal workflows.
The Post State Tags plugin solves this organization challenge. It allows administrators to create and apply custom, color-coded visual tags to pages, making content management clear and organized at a glance.
Setting Up Your Workflow Labels
-
Deployment Phase: Navigate to Plugins > Add New, search for "Post State Tags", and click Install Now followed by Activate.
-
Building the Tag System: Go to the new configuration page under Settings > Post State Tags.
-
Defining Custom Tags: Create specific management tags tailored to your team's internal workflow. For example:
-
Tag Name:
Sales Funnel| Color Hex:#E11D48(Bright Red) -
Tag Name:
Legacy Archive| Color Hex:#4B5563(Muted Gray) -
Tag Name:
A/B Split Test| Color Hex:#2563EB(Vibrant Blue)
-
-
Saving Layout Configurations: Save your new label terms to register them within the system.
Applying and Filtering Tags
To organize your content, open any page or custom post type editor. In the document settings panel on the right sidebar, locate the new "Post State Tag" selection menu and check the appropriate label.
Once applied, navigate back to your main Pages > All Pages overview screen. The standard list is now updated with clear, color-coded tags next to each page title. This system makes it easy for your development, design, and SEO teams to instantly see the purpose of every page, saving time and preventing accidental edits to critical marketing funnels or core landing pages.
